Atlantis Travel Booking System Terms of Use

version 1.4 · 5 Oct 5 2026

These Terms govern your use of the Atlantis travel-booking platform and the reservation services provided by Atlantis Systems Technologies Filipinas Corp. ("Atlantis", "we", "us"). Hotels and other accommodation providers offering stays through our platform are our accommodation suppliers. The supplier identified in your booking is referred to as the "Hotel". "You" means the person making the booking. The booking-specific conditions displayed before submission are the "Booking Conditions".

1. Scope and acceptance

By selecting the booking acceptance checkbox and submitting your reservation, you agree to these Terms and the Booking Conditions, including the Hotel's applicable cancellation, no-show and stay policies, and acknowledge the linked privacy notices. You must be at least 18 and legally able to make the reservation. If booking for others, you must have authority to provide their information and accept booking obligations on their behalf, and must communicate the relevant conditions to them.

These Terms cover accommodation reservations and expressly listed booking add-ons. They do not govern the Hotel's purchase of Atlantis software or business services. Separate business agreements apply to those services and do not impose undisclosed obligations on guests.

2. Our travel platform and accommodation suppliers

Atlantis operates an online travel-booking platform through which travelers can search for, reserve and pay for accommodation offered by our Hotel suppliers. We provide reservation, payment and booking-support services under our arrangements with those suppliers. The Hotel named in your confirmation supplies your accommodation, and the accommodation contract is between you and that Hotel. These Terms also govern the booking services Atlantis provides to you.

Our Hotel suppliers are responsible for providing the confirmed room and on-site services, including their property, staff, facilities, safety, operating permissions and room inventory. Atlantis does not own or operate the Hotel. We remain responsible for our own booking services and any duties imposed on us by law. A Hotel-branded booking page does not change these respective roles.

3. Making and confirming a reservation

Review the property, guest names, dates, occupancy, room type, inclusions, total price, payment schedule and cancellation rules before submitting. A booking is confirmed when a confirmation carrying a booking reference is generated and made available on screen or sent to the contact details you provided. A payment authorization, bank debit notification or booking request alone is not confirmation.

Check your confirmation promptly and contact us if it is missing or incorrect. An unread email does not by itself cancel a confirmed booking. Special requests, including bed type, adjoining rooms or early check-in, are subject to availability unless expressly confirmed. Corrections to obvious listing or pricing errors will be explained; we will not impose an increased price after confirmation without your agreement. If a booking cannot lawfully be honored at its confirmed price, we will offer an available alternative for your approval or a refund of the affected payment, subject to your statutory rights.

Payment terms

4. Prices and currency conversion

Your payment is processed in the currency shown at checkout for your hotel booking. Before you book, the booking summary shows the total price, applicable taxes and mandatory charges, amounts payable now or later, and any amounts payable at the Hotel. Optional extras, such as meals, extra guests or incidentals, are charged only as disclosed or separately agreed.

If your card is billed in another currency, your card issuer and/or card network (such as Visa or Mastercard) determines the exchange rate used to convert your booking payment. Your card issuer may also charge currency-conversion or international transaction fees. Atlantis does not set or control these rates or fees and cannot guarantee the final amount in your card's currency. You are responsible for charges applied under your agreement with your card issuer. Subject to applicable law, Atlantis is not responsible for differences caused solely by these rates or fees. Please contact your card issuer for details.

Any fee charged by Atlantis must be disclosed before you accept it. No additional fee arises merely because Atlantis earns a commission from the Hotel. Accommodation and separately charged services will be invoiced or receipted by the responsible entity as required by law; a booking confirmation is not necessarily a tax invoice.

5. Booking payments

For bookings payable to Atlantis, you pay Atlantis for the reservation through the payment methods offered at checkout. You authorize Atlantis and its payment service providers to charge the amount and payment schedule shown before you submit the booking. For a booking expressly marked payable to the Hotel, payment is collected by that Hotel under the disclosed conditions.

Once Atlantis receives your valid payment for a confirmed booking, your obligation to pay the Hotel for that amount is satisfied. You will not be required to pay that same amount to the Hotel again. A failed, reversed or successfully charged-back payment does not discharge an otherwise valid outstanding obligation, subject to your dispute and refund rights. Any further payment request must account for existing charges to prevent duplicate collection.

Your payment instructions or checkout summary identify the expected merchant or statement name, which may identify Atlantis, the Hotel or the payment provider. Contact support if you do not recognize a charge. Atlantis may receive remuneration from its Hotel suppliers; supplier remuneration does not add to the total price disclosed to you.

6. Authorization and payment verification

Use only a payment method you own or are authorized to use. Your authorization covers the disclosed booking payment and, where expressly accepted and permitted by the payment channel, applicable cancellation or no-show charges. It is not authority for unrelated or unlimited future debits. Any later optional purchase requires separate agreement; stored-payment or scheduled-payment facilities require the applicable authorization.

We or the payment provider may request proportionate verification, including cardholder authorization or an identity check, through a secure channel. Do not send a card security code, PIN, one-time password, or an unredacted image of your payment card to Atlantis or the Hotel by email or messaging. Security codes should be entered only in the authorized payment interface when required for that transaction.

A payment or booking may be paused or declined for a reasonable fraud, security or legal concern. Where practicable and lawful, we will explain the next step and allow correction. If payment is captured but the booking is not accepted, we will arrange reversal or refund of the unfulfilled booking amount. Verification does not guarantee approval or remove legal rights.

Cancellations, refunds and booking support

7. Guest cancellations and changes

The cancellation deadline, relevant time zone, no-show charge and change restrictions shown before booking govern the selected rate. A non-refundable rate may restrict refunds for a guest's voluntary cancellation, but does not exclude remedies required by law or refunds arising from our or the Hotel's failure to supply the booking. General labels do not override a more favorable specific condition accepted at checkout.

Send change or cancellation requests through the method in your confirmation or contact support with your booking reference. A request is not a completed change until acknowledged and confirmed. We will use the recorded time of receipt when assessing a deadline; our processing delay will not make a timely request late. Date changes may require a new rate and availability, which you must approve. No-show and early-departure charges apply only as disclosed and permitted by law.

8. Refund entitlement and processing

If a refund is due under the Booking Conditions or law, we will coordinate it with the Hotel and the relevant payment provider. Refunds normally return to the original payment method in the currency of the original payment. If that route is unavailable, a secure alternative may be arranged with appropriate verification and provider approval. For cards billed in another currency, the amount credited may differ from the original card charge because exchange rates can change and your card issuer may not refund its fees. These differences are outside Atlantis's control; we remain responsible for issuing the correct refund amount and meeting our legal obligations.

We will tell you the amount approved, any permitted deduction, when the refund instruction has been submitted, and the available processing estimate or reference. Bank posting time can differ from the time a refund is initiated. We will investigate overdue refunds and provide updates. No processing or administration deduction applies unless it was clearly disclosed, is applicable to the cancellation and is lawful. A refund legally due cannot be made conditional on discretionary Hotel approval or Atlantis first receiving reimbursement from the Hotel.

9. Unavailable accommodation and disrupted stays

If Atlantis cancels because of its own error, or the Hotel cannot provide the confirmed accommodation, no guest cancellation or no-show fee applies for that failure. We will assist in arranging a suitable alternative for your approval or refunding the affected unprovided services. No extra charge or materially different accommodation will be imposed without your agreement. This does not limit any additional remedy available under law.

For natural disasters, government restrictions or other events beyond reasonable control, we will explain available options and assist with the Hotel. Such events do not automatically erase refund obligations or entitle Atlantis to retain payment for an unprovided service. Any exclusion of responsibility applies only to the extent permitted by law and does not cover a failure to take reasonable mitigating steps.

10. Payment assistance

If your payment does not complete, contact Atlantis with the booking reference so we can check its status and explain any available alternative. Avoid repeating payment while an earlier charge remains unresolved. A pending card authorization is not necessarily a completed charge. If you believe you were charged twice or paid without receiving confirmation, notify us promptly so we can investigate and arrange any correction or refund due. Your statutory remedies remain unaffected.

Responsibilities and protection against misuse

11. Hotel policies and guest responsibilities

Follow the Hotel's disclosed check-in, identification, occupancy, child, deposit and conduct requirements. The Hotel collects incidentals and security deposits only under the conditions disclosed or separately agreed. Contact the Hotel promptly about on-site defects or safety issues and notify Atlantis where booking support is needed. Do not delay urgent assistance while waiting for a booking response.

Provide accurate contact and guest information and safeguard your booking reference and account credentials. Notify support of suspected unauthorized use. You are responsible for reasonably avoidable loss directly caused by your material misinformation or unauthorized activity, to the extent established under law; you are not responsible for a fault of Atlantis, the Hotel or a payment provider merely because you used the platform.

12. Payment disputes and duplicate recovery

Contact Atlantis or the Hotel promptly about an unrecognized, incorrect or disputed charge so we can investigate. This does not restrict your right to contact your bank, invoke card-network procedures, report fraud or meet a dispute deadline. We may provide relevant booking, acceptance, authentication, payment and service-delivery records to the provider for a genuine dispute, subject to applicable privacy law.

You must not knowingly make a false payment claim or seek duplicate reimbursement. We will reconcile direct refunds and chargebacks so that the same amount is not recovered twice. If an undisputed lawful balance remains after a reversal, we may request payment with supporting details. We will not automatically impose a penalty, legal fee or administration charge solely because you raise a dispute.

13. Platform use and intellectual property

Use the platform for genuine reservations and related support. Do not make fictitious bookings, evade payment controls, introduce malicious code, access another person's information, disrupt the service or use automated collection tools without permission. Atlantis and its licensors retain their rights in the platform, software and branding; the Hotel retains its rights in its materials. You may keep your confirmation and a copy of the terms for personal records and lawful claims.

We may restrict access where reasonably necessary to investigate misuse, prevent harm or comply with law. Where practicable, we will provide notice and a way to resolve an error. Restricting an account does not automatically cancel a legitimate paid booking, extinguish an existing refund or prevent access to necessary booking records and support.

14. Responsibility and limits on liability

Atlantis will exercise reasonable care in providing its reservation services. It does not operate the Hotel and is not responsible merely by acting as booking agent for a Hotel's independent acts, except where Atlantis contributed to the loss or the law imposes responsibility. We do not promise uninterrupted platform or third-party service availability.

To the extent legally permitted, Atlantis is not liable for indirect or consequential business loss, such as lost business profit, arising from use of the platform. For other claims for which a contractual cap is lawful, Atlantis's total liability arising from one booking is limited to the total price of that booking. Related claims concerning the same booking share that cap.

These exclusions and the cap do not reduce any refund due, liability for fraud, willful misconduct or gross negligence, death or personal injury caused by negligence, or any consumer, privacy or other liability that cannot lawfully be excluded or limited. Mandatory legal duties prevail over every disclaimer in these Terms.

Privacy, support and governing terms

15. Personal information and electronic records

Atlantis and the Hotel process personal information for their respective booking, service, payment, security and legal purposes as explained in their linked privacy notices. Necessary information may be shared with the Hotel, payment providers and service providers for those purposes and for handling legitimate disputes. Each party remains responsible for the obligations applicable to its actual role under data protection law.

Acknowledging a privacy notice is not blanket consent to unrelated marketing or unlimited disclosure. Where consent is required, it will be requested separately. Provide information about other guests only with appropriate authority and make the relevant notices available to them. Booking communications and records may be sent electronically; retention and access are governed by applicable law and the relevant privacy notice.

16. Questions, complaints and dispute resolution

For reservation, cancellation, refund or payment assistance, contact Atlantis at helpdesk@ph.atlantis.asia. Include the booking reference, Hotel, stay dates and a short explanation; do not email full card details or security codes. Atlantis will handle your booking inquiry and coordinate with the Hotel supplier where needed. For urgent matters during your stay, contact the Hotel directly using the details in your confirmation.

We will acknowledge and investigate complaints and seek a prompt resolution. Where the Philippine Internet Transactions Act applies, its internal-redress procedure applies; a complaint unresolved seven calendar days after filing is deemed to have exhausted that procedure. This does not postpone a payment-dispute deadline, restrict an urgent remedy available by law or prevent a report to an appropriate authority.

Philippine law governs these Terms, subject to mandatory consumer protections that apply to you. Disputes may be brought before the courts or authorities having jurisdiction under applicable law. Arbitration is voluntary and requires a separate written agreement after a dispute arises; if agreed, the proposed legal seat is Pasig City, Philippines, with hearing arrangements separately agreed. No compulsory foreign arbitration or waiver of statutory consumer remedies is imposed by these Terms.

17. Which terms apply and future changes

Mandatory law takes priority. The accepted Booking Conditions govern booking-specific prices, dates, inclusions and cancellation deadlines; these Terms govern Atlantis's reservation and collection services. Hotel stay rules govern on-site matters. Undisclosed Hotel–Atlantis agreements cannot reduce your rights. Where applicable published terms conflict, no interpretation may deprive you of a mandatory protection or impose an undisclosed charge.

The version accepted for a confirmed booking continues to apply to that booking, unless a change is required by law or you expressly agree to a lawful change. Later website updates apply prospectively. A change to the website alone does not authorize an increased charge or reduce an existing refund right. If part of these Terms is unenforceable, the remainder continues to the extent lawful.

18. Identification of the parties

The booking page and confirmation identify the Hotel and its contact details. The Atlantis entity supplying the reservation services under these Terms is Atlantis Systems Technologies Filipinas Corp. Its verified business address and contact details must be displayed in the platform's legal contact information. Other Atlantis entities are not made parties merely by sharing a brand name.
